Supply Nation has appointed GEL Events as the event freight organiser. GEL Events can assist exhibitors with freighting larger sized items, items requiring cold/dry storage, door-to-booth transport services and return shipments. You may also use any freight company of your choice.
Exhibitors organising delivery/pick up using GEL Events will need to:

PerthExpo Hire – Booth inclusions and upgrades
Supply Nation has contracted PerthExpo Hire as the exhibition builder for Connect. PerthExpo Hire does not manage booth allocations or the floor plan.
Booth customisations
If you are interested in a custom stand design, PerthExpo Hire can provide simple and effective packages to help deliver your brand’s vision. All requests must be submitted to PerthExpo Hire by 6 July 2026. Requests submitted after this date may not be accepted or may incur late fees.
The PerthExpo Hire Online Portal can be used for ordering additional items to customise your booth. PerthExpo Hire Exhibitor Services will provide the link, username and password for the portal after you receive your booth number. Please use the portal to complete the forms for your stand requirements, including signage, lighting and power, stand modifications, shelving, slatwall, furniture and audio visual.
Condition and damages
All booths are hired and must be returned in the condition delivered. Charges will apply for any damage to the booth or PerthExpo Hire equipment.
Protecting the walls:
- Walls are damaged when Velcro or strong adhesive tapes are applied directly
- Always use masking tape on the white wall panels prior to installing any signage
- Tape, hooks and double-sided Velcro are allowed only if masking tape is applied first
- Do not use Blu Tack, pins, staples, screws, nails, bolts, glue or paint, as these will permanently damage the walls
- Do not affix signage to furniture with Velcro, double-sided tape or other strong adhesive tapes

Custom stands
There is no obligation to use PerthExpo Hire for additional hire items, however, as they are our official builder and already on site, it may be advantageous to discuss your options. Contact PerthExpo Hire directly: katienewman@perthexpo.com.au.
If you choose to use another external stand builder, your build plans must be submitted to cat@theeventroom.com.au by 6 July 2026 for approval. The design must include the stand name, number and all measurements so the safety team can assess them accordingly.
Exhibitor profile on the official Connect App
Your exhibitor profile on the official Connect App will be populated using the information entered in the exhibitor platform (subject to Supply Nation’s approval). Ensure all details are finalised by Wednesday 25 June 2026. To update any information, amend your order on the exhibitor platform.

- Business logo (high-resolution, max 1MB png/jpeg format, with solid-colour background)

The venue has direct access from Perth’s main freeway, Mitchell Freeway. If you require parking, see the ‘parking’ section of this manual below.

Parking
The PCEC Car Park is owned and operated by the City of Perth (Customer Service: 1300 889 613). This 1,500-bay car park is accessible via Mill Street, Mounts Bay Road and the Riverside Drive off-ramp from the Mitchell Freeway. Access is restricted to cars and motorcycles with a maximum clearance of 2.1 metres. Trailers are not permitted. Payment for parking can be made by cash, all major credit cards and EFTPOS.
Alternative parking
Approximately 5,000 car parking spaces are available within a 10-minute walk of the PCEC. Early bird and long-stay options are available at the following nearby locations:
- Westralia Square, 141 St Georges Terrace (entry via Mounts Bay Road)
- His Majesty’s Theatre (entry via King Street, opposite the theatre and/or via Murray Street)

Loading dock
Exhibitors will use Loading Dock 5 for any deliveries.
Traffic flow to the access ramp and across the loading dock is strictly one-way only. Access to the loading dock is via a ramp adjacent to the intersection of Mounts Bay Road and Spring Street. The dock exits onto Riverside Drive at the eastern end of the building. A vehicle checkpoint is located at the entry to the one-way access ramp. A truck holding area is located off Mounts Bay Road, below the Mitchell Freeway, and may be used during major bump-in or bump-out periods. This area is managed by MainRoads. Vehicles traversing the dock must not exceed a speed of 10km/h and hazard lights must remain on at all times while engines are running.
Vehicles may only stand temporarily for loading / unloading purposes and must not be left unattended at any time. No parking is permitted and the PCEC reserves the right issue fines via City of Perth parking officers and/or remove offending vehicles from the premises at the owner’s expense.
The PCEC and event organisers (Supply Nation and The Event Room) accept no responsibility for the safety of vehicles and/or their contents.
Loading dock rules
Exhibitors and contractors should be aware of the following:
- Access to the PCEC for bump-in and/or bump-out is via the loading dock only.
- All drivers of vehicles accessing the loading dock must provide a valid driver’s licence to the PCEC’s security staff upon request to verify their identity.
- Event equipment is not permitted to be moved in or out via foyers or other public areas under any circumstances.
- All exhibitors must complete the PCEC site induction, see ‘contacts and resources’ section of this manual for the link.
- High-visibility clothing and enclosed shoes must be worn at all times during bump-in and bump-out.
- Access via the loading dock bi-fold doors is not permitted during event operational hours.
Engaging a courier service
We recommend using a reliable courier service such as Australia Post, Toll or TNT with tracking to avoid disappointment. Please advise The Event Room of all deliveries, shipments and contractors requiring access to Exhibition Pavilions.
Small items can be carried by hand or transported using a small trolley. The most convenient access point is the City of Perth Convention Centre carpark, which provides lift access to the venue. Proceed on foot to the venue.
Self-delivery via loading dock
Please see ‘loading dock’ section of this manual. There is no on-site storage available. All vehicles must arrive and deliver materials on the day of bump-in.
Good to know – when on site
Access information
All exhibitors must have their booths fully set up by 6pm on Tuesday 11 August 2026. Please note:
- Exhibitors are responsible for moving their own equipment.
- Smaller items may be carried or transported via trolley from the loading dock or carpark; dollies and hand / folding trollies are not available on site, so please bring your own.
- All persons on site must wear a hi-vis vest, name badge and closed-in shoes during bump-in and bump-out in the loading dock and on the Tradeshow floor. Entry will be denied to anyone without a hi-vis vest or appropriate footwear. Hi-vis vests are available for purchase at reception (Monday to Friday, 7am – 3pm) or from PCEC’s security outside these hours for $10 each.
Internet access
Free wireless internet service is available throughout the PCEC via the main PCEC internet portal page. Access is limited to 60 minutes per session, after which users can reconnect via the portal.
Connection speeds will be influenced by the number and density of concurrent users within the PCEC and is intended for general browsing and web-based email only.
Exhibitor support on the day
A PerthExpo Hire representative will be stationed at the Tradeshow floor main entry during bump-in to assist with booth-related queries.
Removal of goods
All exhibitor display items and packaging materials must be removed from the venue by 6pm on Wednesday 12 August 2026. Items left behind will be disposed of.
Storage and waste
Limited storage will be available on site. Exhibitors must remove all cartons, boxes and wrapping materials once unpacked or store them neatly. All items stored in your booth must be clearly labelled with your business name and booth number.
Workplace Health and Safety
During bump-in and bump-out, the Tradeshow floor and the loading dock are considered construction zones and caution must be taken. All exhibitors and contractors must adhere to the following safety requirements without exception:
- All persons must wear appropriate closed-in footwear at all times
- All persons must wear hi-vis safety vests
- Corridors / aisles must be always kept clear; do not place items in the aisles and walkways
- Exercise caution around moving equipment
- Limit on-site presence to essential staff only
- All accidents, injuries and incidents must be reported to on-duty security
- All persons working must hold the current, appropriate licences
- No children under 15 are permitted entry
- No person is to work while under the influence of drugs or alcohol
- No dangerous goods or hazardous substances are permitted on site without prior written approval from the event organisers (Supply Nation and The Event Room)
First aid
A fully equipped first aid room is located directly opposite the entrance to Exhibition Pavilion 2 on level 1 of the PCEC. Emergency first aid is available by contacting the PCEC Security Control Room via any house phone on extension 80334 or on 9338-0334 from any other phone.
In the event of a medical emergency, first aid attendants will be on hand to implement procedures and contact external agencies. Anyone who delivers first aid must notify security as soon as possible.
Insurance
All exhibitors must submit a valid Public Liability Insurance and/or Workers Compensation Certificates via the exhibitor platform by Monday 13 July 2026. Without this documentation, access to the venue may be denied. Exhibitors should also ensure adequate insurance coverage for the loss, theft or damage of products during transport to and from the Indigenous Business Tradeshow. The venue and the event organisers (Supply Nation and The Event Room) are not responsible for the safety or condition of any items delivered to the venue.
Damage
Signs, banners and similar materials must not be nailed, stapled, taped or attached to venue ceilings, walls and other painted surfaces. Exhibitors will be charged for any property damage by the venue.
Noise
Sound amplification for videos or demonstrations may be permitted, provided it does not cause annoyance to neighbouring exhibitors. You must contact The Event Room for approval and approval from the event organisers (Supply Nation and The Event Room) must be granted before use of amplification or loud noise.
Power requirements
All power requirements and connection work must be carried out by the official electrical contractor, PerthExpo Hire. Each booth includes one power outlet. Additional outlets can be arranged for an additional fee, contact PerthExpo Hire directly katienewman@perthexpo.com.au to arrange.
Testing and tagging of electrical equipment
In accordance with WHS Regulation 2011, all plug-type electrical equipment must be inspected, tested and tagged in line with Australian Standard AS 3760 (In-service safety inspection and testing of electrical equipment and RCDs). Ensure all leads and portable electrical equipment used have a tag with current date. On-site testing and tagging is available for an additional charge, payable by the exhibitor.
Unsafe electrical equipment will be disconnected and removed from service until inspected, tested and tagged by an electrical contractor. Detachable cords such as IEC leads, extension leads and power boards must also be tested separately.
Vehicles and large display items
If you plan to display large items such as a vehicle or machinery, approval will be required (additional fees may apply). Contact The Event Room for assistance with permits and approvals by Wednesday 17 June 2026.
Exhibitor sampling, selling, preparation and distribution of food and beverage
Generally, the PCEC will allow exhibitors to provide food and beverage samples as a means of demonstrating any plant or equipment forming part of the exhibition or a product manufactured or supplied by the exhibitor; however, exhibitors are not permitted to distribute, sell or give away any other items of food or beverage without the PCEC’s prior written approval.
Each case will be considered on its merits in conjunction with the type of event and nature of the business. Early consultation with PCEC Exhibitor Services is essential. Where permission is granted, the PCEC may apply a corkage charge to the client or exhibitor.
The PCEC reserves the right to remove any food and beverage not authorised by the PCEC.
All stands involved in the presentation of food and beverages must abide by the Food Act 2008 and Food Standards Code. Health requirements for an exhibitor’s stand, from which food and/or beverage is distributed to the public include:
- Perishable packaged foods are required to be refrigerated.
- Where unpacked food is to be given away, openly stored, displayed and handled, the following facilities and services must be provided:
- A hand basin with hot and cold water
- A liquid soap dispenser
- A paper towel dispenser
- Glass or Perspex screens or sneeze-guards to protect food from contamination.
- A washable impervious floor and walls (e.g. sheet vinyl) where food preparation or cooking is taking place
- Where serving implements or utensils are used, a separate double sink with drainer providing hot and cold water, as well as a liquid soap dispenser and paper towel dispensers will be required.
- Where drainage and water are required, stands must be located with access to the appropriate service pits.
- All eating and drinking utensils must be disposable (e.g. paper cups, plastic spoons, plastic wine glasses etc) and must not be reused.
- When food or beverage samples are given away for promotional purposes:
- They must be offered in such a manner as to avoid being handled by the public (e.g. apportioned and toothpicks inserted).
- They should be protected from contamination (e.g. use of trays provided with fitted plastic covers).
- Condiments such as sauce, mustard etc are to be contained in squeeze type dispensers or in individual sealed packs.

Exhibitors approved to promote food and/or beverage must provide receptacles for the collection of rubbish located at or near the stand and the contents shall be disposed of in a manner approved by the PCEC.
Note: extra charges may be imposed for the cleaning of wet areas and the disposal of food waste.
On-stand catering
The PCEC will provide on-stand catering for clients and exhibitors. All food and beverage orders should be placed not less than 20 business days prior to the commencement date with payment made not less than five business days prior to the commencement date. Orders placed with less than five business days’ notice prior to the commencement date will incur a 20% surcharge.
Liquor service requirements
The PCEC’s liquor licence requires that service of all alcoholic products – including samples – is performed by a member of PCEC’s staff. Labour charges apply to this service.
With written approval from the PCEC agreeing to relinquish their Special Facilities Licence in the tenanted space, exhibitors may apply for their own liquor licence for the duration of their event by contacting Racing, Gaming and Liquor. Corkage and catering rights charges may apply and should be confirmed with PCEC Exhibitor Services 20 business days prior to the event.
With written approval from the PCEC, exhibitors may serve alcohol samples on stand under their own liquor license and are required to abide by the Liquor Licensing Act 1998 at all times. The exhibitor must provide a copy of their liquor license and Responsible Service of Alcohol certificates of every individual on their stand.
Note: an exhibitor under section 59A of the Liquor Control Act is permitted to sell packaged liquor on the licensed premises of the other licensee for delivery to the purchaser or to premises specified by the purchaser, from the licensed premises of the supplier. Packaged sales for take away is prohibited.
Should an exhibitor not hold a liquor license and Responsible Service of Alcohol Certificate, the serving of alcohol beverage samples will only be permitted under PCEC’s liquor licence when served by a PCEC RSA certified staff member at cost to the exhibitor.

Selling items (food or beverage)
Exhibitors wishing to sell items must complete a Food and Beverage Selling Request Permit Form, see ‘contacts and resources’ section of this manual for the link. You may be required to pay a fee. Pending this advice, if you choose to proceed with selling items, we also advise:
- Be mindful of the quantity you plan to bring / sell, as all items must be stored within your booth.
- Consider your payment method e.g. float / cash or a POS system such as Square
For all other selling requests, please email The Event Room for further information and approvals.
Other notes
- The event organisers (Supply Nation and The Event Room) reserve the right to ask you to remove any display items deemed as unacceptable.
- Exhibitors should not place material outside their booth causing obstruction of any aisles or emergency exits.
- Exhibitors will be responsible for any reasonable costs of repairing the booth or premises should any fixtures be painted, marked or otherwise damaged.
- Exhibitors are solely responsible for any physical loss or damage to their property.
- Only one business per booth is permitted (one ABN per booth).
- Registration for an exhibition booth permits entry for one staff member; registration for additional staff to help at your booth can be arranged via the exhibitor platform once your booth registration has been approved.
- Names, contact details and dietary requirements of any staff members must be provided via the exhibitor platform and must be confirmed 17 June 2026.
- Paramedics will be on site for the duration of the Tradeshow.
Emergency procedures
In the event of an emergency, a trained emergency response team will lead the implementation of all procedures. The event organisers (Supply Nation and The Event Room) are briefed on emergency procedures.

The PCEC uses an Emergency Warning and Intercommunication System (EWIS) for alarms, primarily in emergencies like fire or other threats.
- Alert alarm – “Beep! Beep! Beep!”
This is a warning alarm to notify everyone of a possible emergency. Stand by for further instructions.
- Evacuation alarm – “Whoop! Whoop!”
This alarm means all occupants must evacuate. Wardens will direct everyone to leave quickly and calmly via the nearest exits until it is safe to return. Leave calmly and quickly via the nearest emergency exit, do not use lifts, follow staff directions and proceed to designated assembly points (typically at the front of the building, such as near the Bell Tower end or Plaza opposite Adina Hotel).
